How Do I Tag Groups of Students?

How Do I Tag Groups of Students?

Our Veracity Launch LMS has a Learner Profile Field feature that lets you “tag” or label a student as belonging to a group that you designate. Then, you can use these metadata tags to streamline later operations on those students and groups in the LMS — and, further, in our LRS too!

Why You Would Want to Tag Groups of Students

Using a tag, you can reduce a long list of students into a single group. Some sample fields and values might include:
  1. Subject area program — Contracting, Logistics, Management, etc.
  2. Organizational department — HR, Manufacturing, Sales, etc.
  3. Agency or Service — DLA, EPA, Navy, etc.
  4. Annuation or rank — E1, New hire, Officer, Supervisor, etc.
  5. Assessment performance: i.e., degree to which they frequently need remedial instruction
  6. Location or time zone — North America, Pacific Time, etc.
  7. Language or accessibility needs — English, French, deaf, etc.
  8. Classroom, workshop, or study groups (often, value is date assigned)
  9. Beta testers, and pilot and train-the-trainer cohorts (often used by exclusion)
Once you’ve decided on a taxonomy of tag fields and values, you can then use them to perform LMS and LRS operations more quickly on many students, using fewer commands.
Notes
You can set-up multiple tag fields, each with many possible values. You can also assign overlapping tags to a single student, which lets you tailor their training.

How to Enter a Tag

In our Launch LMS, you set-up a tag by configuring your site with Learner Profile Fields.
  1. Log-in to your instance of Launch.
  2. In the left menu, click the Administration option.
  3. In the Admin page, click the Portal Configuration (Configure) card.
  4. In the Admin > Configuration page, click the Portal Settings (Edit) card.
  5. In the Portal Settings form, scroll down to the Learner Profile Fields section, and in the Add Tag text entry field, enter your tag name, and press Enter on your keyboard.
  6. When finished, click the Save button.
Notes
When you type-in a tag name, you must press Enter on your keyboard for the LMS to add it to the list of tags.

At this stage, you’ve only designated the field name of the tag. When you assign the tag to a student, you will designate the value.
Notes
Spelling and capitalization count! Choose terms for the fields and values that are semantically accurate, but also easy to interpret and manually reproduce. You may not be the only LMS or LRS user who comes to depend on these tags.
Notes
Don’t be frivolous! From this point on, every student gets every tag. Unless and until edited, the value remains “undefined”. So, avoid adding bureaucracy by littering your LMS with dozens of unneeded tags.

How to Apply a Tag

You apply a Learner Profile tag to a student after they’re already in the Launch LMS.
  1. In the left menu, in the ADMIN section, click the Manage Learners option.
  2. In Admin > Manage Learners page, scroll down to find the student you want to tag.
  3. Click the Actions menu, on the left of the record row.
  4. From the pop-up menu, click the Edit Profile option.
  5. In the Edit User Profile dialog box, enter a value to replace “undefined”: the default value.
  6. Click the Edit Profile button to save your change.

How to Use a Tag to Streamline Work

As mentioned, tagging students lets you then use one tag to select many students and perform some bulk operation in fewer steps.

Using Tags in Launch LMS

In the Launch LMS, you can use tags anywhere you administer students:
  1. Manage Learners — show/hide field, and sort and filter by value
  2. Manage EnrollmentsBulk Enroll and Bulk Delete (Unenroll)
  3. Attempt Status Report — filter by field and value
For example, to Bulk Enroll students by tag:
  1. In the left menu, in the ADMIN section, click the Manage Enrollments option.
  2. In the Admin > Data > View Enrollments page, click the Bulk Enroll button.
  3. In the Learner Profile Fields, click in the text entry field and select the value you want.
  4. Click the Bulk Enroll button.

Re-using the Tags in Learning LRS

From this point on, once the tagged students begin using our LMS, the LMS will insert the Learner Profile field and value into the xAPI sent from the courseware that they launch. The extra data appears in every xAPI statement, in the context.extensions:

Now that the data is in the xAPI statements, you can use our Learning LRS to build queries and charts using these tags. For example, in Query Builder

Notes
In VQL, because the extension includes a URL, you must escape its dot notation with *`* to make it valid JSON.
